Warranty Policy

Last Updated: March 03, 2026

HVAC Supplies sells products made by third-party manufacturers. That means warranties are provided and managed by those manufacturers, not by us. This page gives you a general overview of what to expect when filing a claim. You can always check the manufacturer’s official warranty documentation for your specific product to confirm exact coverage terms.

Who Covers It

Warranties are provided and honored by the manufacturer, not by HVAC Supplies.

What You’ll Need

Model/serial numbers, proof of purchase, installation date, and often a report by a licensed technician.

Common Requirement

Most brands require licensed installation and product registration within approximately 60 days.

Important: HVAC Supplies does not cover labor, diagnostics, refrigerant, shipping, or installation costs unless explicitly stated in writing.

General Warranty Conditions

Warranty terms vary by brand and model. Unless a manufacturer states otherwise, these conditions generally apply:

  • Warranty coverage starts on the installation date. If that’s unknown, the manufacturer may use the manufacture date instead.
  • Products must be installed by a state-licensed or certified HVAC contractor, following local codes, permits, and manufacturer instructions.
  • Equipment must remain in its original installation location.
  • Routine maintenance is required, including filter changes, cleaning, and similar upkeep.
  • Many manufacturers require product registration to activate full warranty coverage.
  • A licensed technician’s diagnostic report is often required before a claim can be approved.

Common Exclusions

What’s Typically Not Covered

  • Warranty claims are separate from our Returns & Refund Policy.
  • Shipping, freight, handling, and expedited delivery costs.
  • Refrigerant recovery, refill, leak testing, and disposal.
  • Normal maintenance items and consumables such as filters and belts.
  • Cosmetic issues that don’t affect how the unit operates.

Often Excluded Causes

  • Improper installation, misapplication, or unauthorized modifications.
  • Voltage issues, power surges, blown fuses, or open breakers.
  • Corrosion from coastal or salt air, harsh chemicals, flooding, fire, or lightning.
  • Damage during transport after delivery, or from mishandling after receipt.
  • Commercial losses or indirect and consequential damages, where permitted by law.

How to File a Warranty Claim

1 Gather Your Documentation
  • Proof of purchase, order number, or invoice.
  • Model and serial number(s).
  • Installation date and installer information.
  • Photos or video if the manufacturer requests them.
  • A licensed technician’s diagnostic report.
2 Submit to the Manufacturer
  • The manufacturer reviews and approves or denies the claim based on their terms.
  • Approved claims typically result in replacement parts, new or remanufactured.
  • Some brands require defective parts to be returned before issuing credit or replacement.
  • Return shipping is generally the customer’s responsibility.
Our role: We can help direct you to the appropriate manufacturer contact or claim process. We don’t approve or deny warranty claims.
